Refunds, deposits, and cancelled weeks
We take deposits because a study occupies reserved weeks in the drawing room and on the road. This page says when money comes back, when it does not, and how to ask.
Eligibility
Refunds apply to mapping studies and related drawings quoted by Route Vectorhub Analytics. There is no shop of physical goods and no software licence to unwind.
Timeframe
Write to info@route-vectorhub.digital within fourteen days of the event you want considered (a cancellation, a no-show, or a study we stopped because records would not support a drawing). We answer within ten working days.
Deposit and unused weeks
A fifty-percent deposit holds the reserved weeks. If you cancel more than ten working days before the first briefing or gate day, we refund the deposit in full. If you cancel inside those ten days, we keep the deposit for time already kept clear, unless we fill the weeks with another study — in which case we refund the unused part.
Work already started
Once we have begun reading records or visiting a yard, a full refund is not available. We will invoice for days already spent (reading, travel, draft plates) at the daily rate implied by the quote, and refund the rest of what you have paid. Final plates already inked are yours only when the balance for those plates is paid; if you stop before that, you do not receive the finals, and we do not refund the drafting days.
Non-refundable items
Yard-visit travel already bought (rail, road, lodging) is not refunded once spent. Extra plates you requested after the agreed set, once drawn, are not refunded. The sitting, if you attended it, is part of the delivered study.
No-shows and rescheduling
If nobody meets us at an agreed gate morning, that day is charged. We will offer one new morning inside the reserved weeks. A briefing you miss at Level 12 may be moved once if you write before the hour; a second miss is treated as a cancellation inside the ten-day window.
Records that cannot support a drawing
If, after the first reading, the copies are too thin (missing weeks, drops recorded only as ‘west’), we stop. We refund the unused part of the deposit, minus the days already spent reading, as on the rates page.
Method and processing
Refunds go back by the same method as the deposit or balance, usually a bank transfer in GEL to the account that paid. Allow up to fifteen working days after we agree the figure for the bank to show it. We do not send cash from the office.

Exceptions
We do not refund because you dislike a truthful plate (for example a catchment hole you wished were round). We will correct place-names and misread runs at draft stage at no charge. After finals are handed over, corrections of our error are redrawn at our cost; changes of mind are a new, smaller commission.
